Excel file not uploading

We have a process that successfully intakes excel files but below is a use case where the file is not uploaded/error occurs:

Use Case 1 - Fail

1. download the excel file from elsewhere (.e. shared site)

2. File is stored on desktop/downloads folder

3. Open Appian > Select file to be uploaded from downloads folder

4. File upload fails

Use Case 2 - Pass

1. Open same file that failed in Excel on desktop

2. Rename the file in anyway (i.e. add number 1 to end of title)

3. Open Appian > select new renamed file to be uploaded from downloads

4. File upload is successful

Why is use case 1 failing? Can we change something so it is accepted?

What exactly do you mean when saying that the upload fails?

In the past I sometimes had the problem that the file has been downloaded, but somehow locked by the system for virus scanning. Does it work when you wait a minute?
